What Event Check-Ins Does

Event Check-Ins lets you track which competitors have arrived at the venue. Once enabled, competitors are sent an email with a one-click check-in link on the date you set. Officials can track check-ins from the Event Panel and check in any competitor manually at any time.

To enable, edit your event and select the Event Check-Ins setting. Set a Check-in On date to restrict check-ins to a specific start day — if left blank, check-ins are allowed immediately once the feature is enabled.

Tracking Check-Ins as an Official

After enabling Check-Ins, the Competitor list in the Event Panel shows a check mark in the left column for each competitor who has checked in. Hover over the check mark to see the date and time of check-in. Any official can check in a competitor manually by clicking the check mark icon in the Actions column.

The Competitor Check-In Email

On the Check-in On date, the system automatically sends every competitor an email with a one-click link asking them to check in upon arrival at the venue. Clicking the link in the email completes the check-in immediately with no sign-in required.

Online Self Check-In

Competitors can also check in directly from the event public pages by selecting Event Check-In from the event menu.

If the competitor is signed in to RRS.org, the system shows only competitors matching their account email address. If they are not signed in, the full competitor list is shown and they select themselves. For unsigned-in users, a confirmation email is sent to the address on file — the competitor must click the confirmation link to complete the check-in.

Exporting and Dashboard

When you export the competitor list, the spreadsheet includes a check-in date column. Competitors who have not yet checked in have a blank value in that column, making it easy to identify who is still outstanding.

The Event Dashboard shows a real-time summary of completed and pending check-ins.
